Phone Calls

Our phones are open from 8:30am to 5pm. We do not close for lunch because we believe you should have uninterrupted access to the office throughout the day. If you have a routine question, a provider will try to return your call in between patients, this may be after hours as their schedules often do not allow enough time in between scheduled office visits to give you their full attention. Due to the recent surge in expected same-day return phone calls, please be advised that dependent on the conversation you have, it is at the provider’s discretion how or if you or your insurance will be billed. A secretary will inform you if they feel your phone call should be a scheduled conference for the provider, whether that be same day or not, and attempt to accommodate your needs. If the situation is urgent, just let the staff know you need immediate help, but most of these situations warrant coming into our office anyways. 

We know Tele-health has become predominant over the past year, however, it can be extremely difficult to diagnose and care for your children without physically seeing them in the office, no matter the quality photos you can provide, unfortunately. We will accommodate these kinds of things where providers see fit, such as follow ups, but please do not expect it. Also be aware that telehealth are also considered appointments therefore you are subject to a copay or deductible dependent upon your insurance providers.

After hours, if you have an immediate need, please call the office number and you will get the answering service. The service will contact the provider on call and they will get back to you. This process usually takes less than 15 minutes. If you have not had a call back in 30 minutes, please feel free to contact the answering service again. The answering service should be utilized for EMERGENCY situations only! They will not assist you or relay messages for any other requests.

We kindly ask that you do not text or call your provider on their personal cell phones.

If your child needs emergency room care, we prefer Hasbro Children’s Hospital if possible. Hasbro is a tertiary children’s hospital capable of handling all pediatric problems.

 

Prescription Refills 

Prescriptions should be called in during regular office hours. Please DO NOT call the answering service for prescription refills of any kind as we WILL NOT honor these types of requests outside of regular office hours.  Please plan accordingly as refills could take up to 48hrs to be sent over to the pharmacy by the provider. 

If your child is prescribed a medication that needs to be monitored, you must have had a med check appointment in the last 3 months and have one scheduled in the future.

Due to the shortage of ADHD medication we are asking that you contact your pharmacy directly to check its availability before calling the office for your refill. In the event that it is not, please call around to other pharmacies for that medication. 

 

Completion of Various Forms

We do require 48 hours to fill out any type of form (school, camp, sports, etc.). At each well child visit, we give you a universal state form with a copy of your child’s vaccines. This form should be kept in a safe place and copies should be made for school, camp, sports and/or daycare. If you require a duplicate physical form to be filled out at any time during the calendar year, a $10 fee will be incurred.

 

Appointments

It is our policy that every patient have an annual physical examination. Due to the increase in patient volume, we recommend booking these appointments at least 6 months in advance so that we can accommodate the day and time that works best for you. Our office strives to be as accommodating as possible, however, we are no longer able to book physical examination appointments on a last minute basis. We understand that your child’s annual exam may not be at their birthday due to scheduling. Per most insurance companies the annual exam is covered every 366 days, you may contact your insurance provider to discuss whether the date of your appointment can be made earlier to re-align with your child’s birthday. We will not be doing physical exams as tele-health appointments.

Our office is often used as a teaching facility for students and residents. If there are any objections to a student/resident observing your visit, please notify the staff when your name is called.

Sick visits are booked Mon – Fri 9am-4pm, unless in an emergency. You will be asked to contact the office from your vehicle upon arrival and directed as to how and when to enter the office.

Vaccines can be booked Mon – Fri 9am-4pm.

Laboratory testing is available in the office when staffing allows, please contact the office to inquire.

Please be advised if you arrive more than 15 minutes late for your appointment, you will likely be asked to reschedule and potentially incur a fee.

 

Cancellations

If you need to cancel or reschedule an appointment, we require 24 hours notice. The office does make an attempt to confirm your appointment a few days in advance, but keep in mind, your appointment is your responsibility. There are times when the office staff is unable to provide this courtesy, so please be mindful of any scheduled appointments.

 

Missed Appointments 

There is a $50.00 fee for all missed appointments. Please be advised that if you book an appointment of any type with our office and fail to show for that scheduled appointment, you will be billed a missed appointment charge. This includes tele-health.

 

Vaccine Services

As of 2013 our office requires that all patients follow the AAP Vaccine schedule. More information on this can be found in the Child Healthcare section of our website.

Please Note

Due to the ever-increasing complexity and rising cost of processing your insurance billing, our office has taken steps to keep our charges at a reasonable level, and keep insurance billing problems to a minimum. Your cooperation is greatly appreciated.

Copays are mandated by the insurance companies and are due at the time of your visit. Copays apply to all appointment types, including telehealth, other than annual exams. All other medical procedures and medical charges will be billed to your insurance company. Any related balances, such as deductible, co-insurance, or non-covered services and patient responsible balances will be billed to the patient for payment. You may pay your bill by mail, phone, or in person.

In the event these balances are not paid in a timely manner, your account may be sent to a professional collection agency and you will be responsible for the collection charge. This charge will be added to your existing balance.

In the event that a check is returned for insufficient funds, your account will be charged back the amount of the check along with our bank processing fee for a returned check.

Welcoming the realm of tele-health into our office has added another aspect of billing. What you are billed for during a telephone encounter is at the provider’s discretion. Any and all messages left for a provider could initiate a co-pay, dependent on your insurance as these visits/conversations often take as long or require testing as an office visit would.

We thank you for your cooperation, as this is extremely important to our ongoing ability to offer you quality services for reasonable charges.
